INVITED-TRIAL GUIDE · UPDATED 18 October 2026

Prepare your StoresFlow demonstration and trial

Start with fictional stock, then agree one stockroom, named responsibilities and a counted opening for an invited trial.

This guide describes the trial scope. Access and the workflow supported for your site are agreed before the trial starts.

Practise before opening

Ask for a guided demonstration with fictional materials and jobs. Practise a receipt and put-away, a reservation with a shortfall, a pick and issue, a return and a count. The sample site is separate from production and cannot print to a physical printer.

Choose the first stockroom

Choose one non-safety-critical stockroom at one site, with someone responsible for its stock. Start small enough to count every location at opening and at the end of the trial. The first setup needs:

  • The materials, supplier codes or aliases, base units and pack sizes.
  • Which materials need lot tracking.
  • The store, receiving area, bins and staging locations.
  • Open jobs, transfers or reservations to resolve before the cutover.

Agree the cutover

StoresFlow becomes the only record for the stock you move into it. Agree the date, stop changing those balances in the old system, then count the opening stock and confirm it once. Unresolved transfers and reservations from the old system are resolved or explicitly excluded, never imported as available stock.

Give people the right role

An organisation administrator arranges named access in SmartFACT Accounts. Setup, catalogue and policy authoring, review, supervision and floor operation are separate responsibilities. A small team can hold several roles, but the owner role alone grants no stock access and approves no releases.

Agree the live checks

Before real stock is recorded, agree the trial dates, support, recovery arrangements and how the trial ends. Check the actual browser and scanner. If printing is needed, check the PrintStation destination, label size and printed barcodes with your own stock. Access is arranged after these checks, not on form submission.

Keep enquiry data general

Use the enquiry form to describe the problem. Do not send stock files, supplier prices, personal details or credentials there. We agree a suitable route for setup files during onboarding.

Practise with the real screens

Practise receipts, put-away, reservations, picking, issues and returns. Separate office lessons cover holds and reviewed counts.

Read the guides on any device. Interactive demonstrations run on a desktop or laptop, with the appropriate desktop or handheld view.
