INVITED-TRIAL GUIDE · UPDATED 18 October 2026

Approved policies, counts and corrections

What StoresFlow applies automatically, what your team approves and why a count never corrects stock by itself.

This guide describes the trial scope. Access and the workflow supported for your site are agreed before the trial starts.

Automatic policy after approval

An approved policy covers four stages: reviewing receipts and returns, choosing where stock is put away, ranking which stock a job reserves first and prioritising count review. StoresFlow applies it automatically during each operation and records the reason. Hard checks on items, units, lots, holds, reservations and roles always apply first; a policy only chooses among permitted options.

Structured setup and independent review

Policies are described in plain English, with SmartFACT proposing each one, or built in the structured policy editor. A starting policy can be prepared from the receiving area, bin and store you choose, with one example for each stage to check and extend. A reviewer proves the policy against the examples and activates it. No AI is used when stock moves.

Reorder points and low stock

Set an exact reorder point for an item in its base unit, then approve it like any other change. When available stock falls below it, StoresFlow opens a low-stock review task. Acknowledging the task orders nothing, and an acknowledged task stays distinct from stock that has actually recovered.

Counts and CountBench files

A supervisor starts a count for a bounded set of bins, items or lots, which pauses movements there. Operators record what they find, including explicit zeros; anything not counted stays unknown. A CountBench results file for whole-unit items without lots can be imported as observations. The supervisor reviews the differences and applies the correction with a reason and a recent two-factor check.

What a scan or a print does not prove

A scan selects a record and a printed sheet is a document. Neither confirms that stock moved. An issue records material leaving the stockroom, not its consumption. Policies cannot create stock, clear a hold, substitute another material or declare a movement complete.

Practise with the real screens

Practise receipts, put-away, reservations, picking, issues and returns. Separate office lessons cover holds and reviewed counts.
